Tuesday I covered HVAC. Today, dental — because the numbers in this industry got serious this month.

Same format: three things that moved this week, plus one breakdown of how to put one of them to work.

Let’s go.

  1. Dental AI receptionists are now cheaper than your front desk.

The data from this month: practices running AI receptionists are saving 10+ hours of admin time per week and cutting no-shows by 41%. That’s not a vendor claim — it’s the median across deployments. Patient volume up 20% in the same window because the AI never misses a call and books while front desk is busy with in-chair patients.

Platforms doing it well right now: Patientdesk, DentalBase, DentalAI Assist. Some integrate directly into Dentrix and Eaglesoft so the patient ends up booked in your actual PMS, not a parallel system.

Why it matters: your front desk’s #1 hidden cost isn’t salary — it’s the calls they don’t get to. Every “we’ll call you back” turns into a competitor’s appointment.

  1. Intelligent scheduling is filling cancellations automatically — without a human touching it.

Older scheduling software (the kind built into your PMS) shows you a calendar. New AI scheduling tools actively WORK the calendar: when a patient cancels at 9am, the system pulls the waitlist, texts the top 3 candidates with the slot, and confirms the first one who responds — all before 9:15.

Practices using this report 60-70% cancellation slot recapture vs 10-15% on manual outreach. At an average $300 hygiene visit, that’s $200-400 of revenue per cancellation you’d otherwise eat.

If your front desk is still calling the waitlist manually, this is the single highest-ROI AI move you can make.

  1. AI insurance verification just killed a 4-hour admin task per week.

Insurance verification used to mean: front desk pulls up patient, logs into insurance portal, types in the policy number, screenshots the eligibility response, attaches it to the chart. 10-15 minutes per patient. Done morning of every appointment.

New AI verification tools hit the insurance APIs the night before, pull eligibility for tomorrow’s full schedule, and flag any issues for review. Front desk arrives to a pre-verified day. Average savings: 4-6 hours per week of admin labor.

This isn’t sexy. It’s just the kind of unglamorous AI win that compounds month after month.

THIS WEEK’S BREAKDOWN — How to cut your no-show rate by 30-40% in 30 days

Three steps. No PMS migration required.

  1. Audit your no-show pattern this week. Pull the last 90 days of cancellations + no-shows from your PMS. Group by: time of day (mornings vs afternoons), day of week, and patient type (new vs recurring). Pick the worst-performing slot — that’s where AI confirmation pays back the fastest.

  2. Layer in 3-touch AI confirmation on top of your existing system. Most dental PMSs already send reminders — but they’re once, by email, and easy to miss. AI confirmation (Patientdesk, Viva, similar) adds: a 7-day SMS reminder, a 2-day SMS with a 1-click confirm button, and a same-day morning text. Patients who don’t confirm by the morning-of message get a phone call from the AI to either confirm or reschedule. 30-day pilot, $200-400/mo, easy to kill if it doesn’t work.

  3. Measure one number: confirmed-to-show rate. Of patients who CONFIRM via the AI workflow, what % actually show up? Industry baseline: 92-95%. If you hit 90%+ in your first 30 days, scale to all appointments. If you hit <85%, the AI confirmation isn’t the bottleneck — your appointment lead time probably is.

If the number doesn’t move at 30 days, kill it. If it does, expand to recall reminders (the patients you haven’t seen in 9+ months).

No agency. No 6-month implementation.

Want me to set this up for your practice?

If you run a dental practice doing $2M+ and want me to show you the 2-3 AI moves that would save the most hours this month, book a 20-minute AI Readiness Audit. I’ll look at your specific PMS, current workflow, and where AI fits without rebuilding anything. No pitch.

See you Tuesday with the next one. (Issue 03 covers med spa — what AI is doing to client retention and consult-to-treatment conversion.)
