New industry data this month: 35-45% of inbound calls to HVAC shops come outside business hours. That used to mean an answering service for a few hundred a month, or a missed call. Now AI voice agents pick up in under 60 seconds, qualify the lead, book the appointment, and drop it into your calendar.
Platforms doing this well right now: Goodcall, Retell, Smith.ai. RingCentral just shipped their own. The market is at $4.64B this year and growing about 10% annually — which means the shop on your block is already shopping for one.
Why it matters: every after-hours call you missed last year was somebody calling your competitor next.
ServiceTitan now reshuffles your whole day when a job runs long.
If a tech is 90 minutes behind on a furnace install, the system reroutes the next three appointments, texts the affected customers, and confirms with the tech — without anyone in the office touching it. Contractors using it are saving “multiple hours a week” without hiring.
Not on ServiceTitan? Same logic now exists inside Housecall Pro and Jobber. The era of the dispatcher being the bottleneck is ending.
Google is rewriting how customers find your shop.
Generative search — the AI summary at the top of Google — is answering “best HVAC company near me” before anyone clicks a website. The shops winning this are publishing plain-language pages about specific problems (“why is my AC freezing”, “should I repair or replace my furnace”) — not generic homepage marketing copy.
If your Google Business Profile, reviews, and site copy aren’t structured for AI to read, you’re invisible in the answer. That’s new as of about 6 months ago and only getting more aggressive.

Three steps. Don’t overthink it.
Count what you’re losing. Pull your last 90 days of call logs. Count after-hours calls. Multiply by your average job size × a 30% close rate. That’s the number sitting on the table right now.
Pick one platform. Pilot 30 days. Don’t shop forever. Goodcall and Smith.ai both run month-to-month. Set it up to do one thing: take the call, ask 4 questions (name, address, problem, urgency), book the appointment or escalate to your phone.
Measure one number. Booked appointments per 100 inbound calls. Compare against your previous 90 days.
